Program Coordinator
Description
OYA Black Arts Coalition is a non-profit organization dedicated to supporting Black artists, creators, and entrepreneurs within the Canadian entertainment sector. Our programs offer mentorship, networking, and essential skills training to post-secondary graduates in film, television, and digital media, helping them kickstart their careers and increase employment opportunities. We also offer services to mid-career filmmakers/artists, fostering the development, production, and/or distribution of their projects, and increasing the number and capacity of Black Entrepreneurs within Ontario.
The Program Coordinator is expected to work closely with the Executive Director, Operations Manager, Program Manager, partners, participants, facilitators, and all industry stakeholders to oversee all aspects of the program. The Program Coordinator will report directly to the Operations Manager.
General Duties & Responsibilities:
- Coordinating application and selection processes for participants, verifying the accuracy and completeness of documents, and eligibility
- Administer contracts/agreements to participants, program partners, external speakers, and mentors
- Draft program schedules, participant surveys, program updates to participants, facilitators, and partners, etc
- Coordinate the implementation of programming for participants hosted by professional industry facilitators and industry partners
- Effectively manage program schedule, ensuring all requests and correspondence are handled in a timely manner, and identify any issues that could impact program timeline
- Support the collection of invoices and receipts from their program partners, participants, and industry facilitators and mentors
- Coordinate the evaluation of the program activities through participant surveys
- Coordinate virtual meeting tools (i.e., Zoom)
- Organize and coordinate the storage of all program audio-video and social media content
- Support the organization and/or roll out of special events
- Support the social media creation and/or rollout for the program and OBAC's social media messaging
- Any other duties as required
Professional Qualifications:
All candidates are expected to have a post-secondary degree/diploma from a recognized institution in a relevant discipline with a minimum of two years of related experience coordinating and facilitating people in the Canadian arts sector. Candidates should demonstrate a familiarity with the intersections of Black community engagement and media arts from an anti-oppression lens as well as satisfy the following;
- Post-secondary Degree or diploma
- Must have experience/knowledge of either digital media or the film/television industry
- Prior experience in production coordination roles would be considered an asset
- Progressive coordinating experience in an arts-based setting, leading and supporting teams
- Excellent time management and the ability to manage and prioritize multiple program-related requests efficiently
- Project/Program management demonstrated capability
- High degree of confidence in using information technologies and new software applications
- Experience supporting committees and events
- Excellent verbal and written communication skills
- Excellent and responsive problem-solving and conflict resolution skills
- Experience implementing virtual meetings
- Experience using Asana (project management), CRM, and email marketing software/programs (Hubspot, Google Forms, Doodle, Survey Monkey) is an asset
- Demonstrated ability to work collaboratively and effectively as a leader and as a member of a team
Preference will be given to candidates who have demonstrated experience within the media industry.
*The office is near Carlaw/Queen, with the flexibility for hybrid working from home 1 day a week, except for Mondays.

Compensation
$25.00 - $27.00 per hour
